Cash reconciliation, explained and automated. In 2 minutes at close.

Cash reconciliation is the check, at day or shift close, that the money in the drawer matches what should be there according to the recorded sales. It takes three steps: (1) start from the opening float, (2) add the day's cash takings and subtract outflows (change, small payments), and (3) count the actual cash in the drawer and compare it with that theoretical total. If they match, the till balances; if not, there is a difference worth tracking down that same day.

Differences are almost never theft: they are usually wrong change, sales charged but not recorded (or the reverse), voided tickets not noted, or a supplier payment taken from the drawer without being written down. The problem with balancing by hand — calculator, scrap of paper and the card terminal report — is that when a difference appears you have no way of knowing which sale caused it.

With FacturaHub's free POS, reconciliation is automated: every charge is recorded on the spot with its payment method (cash or card), so the theoretical drawer total calculates itself. At close you only count the cash and enter the real amount: the system shows the difference to the cent and the detail of every sale in the shift so you can find where it went wrong.

Each close is stored with date, person responsible and result. If you run several shifts or employees, each closes their own till and the history tells you who closed, when and with what difference — no blind accusations: data. Your team gets per-module permissions, so whoever charges at the POS doesn't need to see reports or accounting.

Reconciliation also stops being an isolated ritual: every recorded sale is a simplified invoice with its IVA (21% general, 10% hospitality), feeding the quarterly Modelo 303 draft — filed by the 20th of the month after the quarter closes. And if you connect your bank (PSD2, free), card deposits are matched against recorded sales: you close the loop on both cash and bank.

All of this is free with no sales limit — only AI is metered (25 free actions per month, one-off token packs if you want more). One clarification: FacturaHub does not process card payments; that stays with your bank's terminal. FacturaHub records, invoices and balances.

Theoretical total, auto-calculated

Every sale is recorded with its payment method. At close, the system already knows what should be in the drawer.

Difference to the cent

Count the cash, enter the real amount and see the difference with the detail of every sale in the shift.

Close history

Each close stored with date, person responsible and result. Look up any past day in seconds.

Linked to IVA and bank

Sales feed the Modelo 303 and bank reconciliation matches card deposits. Everything balances, not just the till.

Frequently asked questions

How much does automating cash reconciliation cost?

Nothing: the POS, till reconciliation, close history and Modelo 303 are free with no sales limit. The only metered thing in FacturaHub is AI: 25 free actions per month and one-off token packs if you need more.

Does it process card payments?

No. Card payments still go through your bank's terminal. FacturaHub records each sale with its payment method for the reconciliation, but does not move the money.

What if the till doesn't balance?

Review the shift detail in FacturaHub: you'll see every sale with its time, amount and payment method, which lets you find wrong change, unrecorded sales or unnoted cash outflows. The difference is recorded in the close so there is a trace.

Does it work with several shifts or employees?

Yes. Each shift closes separately with its count and person responsible, and the history keeps who closed each till and with what result. Employees log in with permissions limiting what they see.

Is balancing the till mandatory?

No rule requires the daily till count itself, but you are required to document your sales (simplified or full invoice) and declare IVA correctly. Daily reconciliation is the habit that stops small errors becoming unexplainable differences at quarter end.
